What Prep Materials Are Needed?

Prep materials are any information you can provide before your event that helps your CART captioner become familiar with the speakers, subject matter, names, acronyms, and specialized terminology that may be used.

Providing prep allows the captioner to research unfamiliar terms and add assignment-specific words and names to their captioning dictionary, helping provide the most accurate realtime captions possible.

Prep materials may include:

  • Speaker, presenter, and panelist names, titles, and bios

  • PowerPoint or other presentation slides

  • Agendas, schedules, or run-of-show documents

  • Presentation outlines, handouts, meeting packets, or course materials

  • Scripts, speeches, introductions, or prepared questions

  • Industry-specific terminology, acronyms, product names, and other specialized vocabulary

  • Videos, video scripts, or prerecorded materials that will be used during the event

  • Links to your organization, event, presenter, or other relevant websites

Don't have formal prep materials? That's okay. Even providing speaker names, the topic of the event, and a website where the captioner can learn more can be very helpful.

Please provide prep materials as early as possible before your event so your captioner has adequate time to prepare.
